Frequently Asked Questions
You can find answers to commonly asked questions below.
Here are some of the most common questions we get about Nexus One Hub CRM. If you don’t see your question here, please don’t hesitate to contact us.
What is Nexus One Hub?
Nexus One Hub is an AI-powered CRM platform built for service businesses that need to capture leads, book appointments, and follow up automatically, without stitching together multiple tools. It combines pipeline management, a unified inbox, AI-powered communication, booking automation, and reporting in one platform.
Who is Nexus One Hub built for?
Nexus One Hub is built for service-based businesses including medspas, aesthetic clinics, law firms, marketing agencies, and local service teams. If your business depends on converting inquiries into booked appointments or consultations, and you want AI handling the follow-up work, Nexus One Hub is designed for you.
How is Nexus One Hub different from a general CRM like HubSpot or GoHighLevel?
General CRMs are built for broad B2B sales cycles. Nexus One Hub is purpose-built for service businesses that run on appointments, inbound leads, and repeat clients. That means pre-built pipelines, AI that responds to leads in under 30 seconds, automated appointment reminders, review management, and HIPAA compliance out of the box. You are not starting from a blank slate and building everything yourself.
What AI tools are included?
Nexus One Hub includes six AI tools: Voice AI (answers inbound calls and texts back missed callers), Conversation AI (responds to leads across SMS, chat, email, Instagram, and Facebook), AI Appointment Booking (checks your live calendar and confirms bookings inside a conversation), Reviews AI (requests and responds to Google and Facebook reviews), AI Chat Widget (converts website visitors before they leave), and Workflow AI (triggers automated actions based on lead behavior). Not all tools are available on every plan. See the pricing page for a full breakdown.
How fast does the AI respond to new leads?
Under 30 seconds in most cases. Voice AI texts back missed callers within 30 seconds. Conversation AI responds to new SMS, chat, and social inquiries in under 30 seconds around the clock, including nights, weekends, and holidays.
Can I control what the AI says and how it sounds?
Yes. Every AI tool is configured to match your brand voice, service menu, and business rules before anything goes live. You review and approve the setup, and your team can update responses at any time. The AI sounds like your business, not a generic bot.
How much does Nexus One Hub cost?
Plans start at $199/month. There are three tiers (Starter, Pro, and Growth) with different feature sets at each level. For a full breakdown of what is included at each tier, visit the pricing page.
Is there a free trial?
After your demo, you get 14 days of free access to a fully configured demo account so you can explore the platform hands-on before committing to a paid plan.
What is the contract term? Can I cancel?
There is no long-term contract requirement. Plans are flexible and structured around your needs. If you decide to cancel, we require 30 days notice before your next billing cycle.
How long does setup take?
Most businesses are fully live within 5 to 7 business days. Onboarding includes one-on-one setup, contact import and segmentation, pipeline configuration, AI configuration and testing, and a review before anything goes live. You approve the build before it launches.
Can you migrate my data from my current CRM?
Yes. We handle data migration from most major CRM platforms including HubSpot, GoHighLevel, and others. Standard contact imports are included in onboarding. Large or complex migrations (custom field mapping, advanced segmentation, multi-source imports) are scoped separately. Ask your onboarding specialist what applies to your setup.
Does Nexus One Hub replace my EMR or EHR system?
No, and it is not designed to. EMR and EHR systems (such as Mindbody or Aesthetic Record) handle clinical records, treatment notes, and medical data. Nexus One Hub handles the business side: lead capture, follow-up, booking, communication, pipeline, and marketing. The two systems serve different functions and work alongside each other.
Can Nexus One Hub integrate with my EMR?
Many EMR and EHR systems can be connected to Nexus One Hub. Some integrations are included as part of the standard setup. Others require a custom API build, and cost depends on the complexity and whether the EMR supports third-party access. Some EMR and EHR systems do not allow external integrations at all. We will assess your specific system during onboarding and confirm what is possible before any additional cost is agreed.
Is Nexus One Hub HIPAA compliant?
Yes. Nexus One Hub is HIPAA compliant and SOC 2 Type II certified. Patient and client data is encrypted at rest and in transit. The platform is trusted by healthcare providers, medspas, and wellness clinics that handle sensitive health information. If HIPAA compliance is a requirement for your business, it is covered.
How do I get started?
Book a demo. A 60-minute call with our team covers your business type, your current setup, and exactly which features apply to your workflows. After the demo, you get 14 days of free access to explore the platform. There is no obligation to move to a paid plan until you are ready. Book your demo here.
